Deleted is not the same as backed up
Exchange Online keeps deleted items for a limited time and then removes them for good. Retention policies and litigation hold preserve content, but they are compliance tools: they do not give you a mailbox as it looked last Tuesday, and they cannot put it back with a click.
When a mailbox is deleted with a departing employee, an account is compromised or a sync tool empties a folder, you need an independent copy with every version — kept outside Microsoft 365 and restorable on demand.

Frequently asked questions
- Doesn't Microsoft back up Exchange Online?
- Microsoft keeps Exchange Online available and replicates it for its own disaster recovery. That protects against outages at Microsoft, not against deletions, compromised accounts or ransomware in your tenant: deleted items are kept only for a limited time, and retention policies are not designed for restoring an earlier state of a mailbox.
- Are shared mailboxes included?
- Yes. Shared mailboxes are backed up like user mailboxes. For billing they are counted separately; resource mailboxes for rooms and equipment are not counted.
- Can I restore a single email?
- Yes. You can restore individual emails, whole folders or a complete mailbox — to the original mailbox, to a different user, or as a download.
- What happens to the mailbox of an employee who leaves?
- Its backup stays in GraphCapsule for the retention period you set, even after the account is deleted in Microsoft 365. You can restore it into a successor's mailbox at any time — cross-user restore is included in the Professional and Enterprise plans.
- Where is my Exchange data stored?
- In EU data centers, with primary storage in Germany and secondary storage in Finland. Every item is encrypted with AES-256-GCM before it is stored.
